Guild Position Descriptions

Board Positions  
President: Responsible for the administration of the Guild, acting with the advice and consent of the board members: set the agenda for all board meetings and for all business to be brought up at guild meetings, shall preside over all board and guild meetings, etc...  
Vice President: Assist the president in the accomplishment of her or his duties, shall assume the president's responsibilities in his or her absence.  
Treasurer: Administer and keep accurate records of the guild's finances: deposit guild's funds in a bank designated by the goard, pay bills on behalf of the guild and have the power to approve bills for payment: prepare an annual financial report and the budget for presentation at the August meeting and interim reports upon direction of the board.

 

Secretary: Maintains bylaws and standing rules and keep amendments current, record minutes from all board and guild meetings for distribution to guild membership through the newsletter and website, and assist the president in developing the agenda for board meetings.
 
Member-At-Large: Shall serve on the board, and assist in fulfilling the aim of the guild as defined in the mission statement through taking on voluntary or assigned duties as defined by the president and the vice president.  

Essential Volunteer Positions  
Librarian: Responsible for maintaining the guild library, manages materials checkin and checkouts, purchases/replaces materials, etc.

 

Monthly Program Coordinator: Identifies and schedules the member meeting programs (demonstrations, slides shows, presentations, etc.)

 

Web Master: Regulary maintains and updates the guild website. Assures site is readily accessible to a majority of members via their various computer systems and browsers.  
Clay Day Coordinators: Traditionally, the guild has 3-4 Clay Days each year where members volunteer to do demonstrations of various techniques. The coordinators determine which techniques, identify volunteers, schedule the events, etc.

 

Open Clay Day Coordinator: Coordinates annual clay day that is open to anyone interested polymer clay. Needs to identify guild members to volunteer to demonstrate techniques during this clay day.  
Newsletter Editor: Designs and produces newsletter, specifically determines publication schedule, solicits articles for the newsletter from members and other sources, edits all text submitted for publication, writes articles for the newsletter as appropriate, works closely with the members and board to assure newsletter is distributed its membership.
 
Memberships: Maintains and updates information (name, address, phone, email, etc.) of every active members, periodically prepares and distributes listing to members.  
Newbie Mentor: Upon request by anyone who feels lost, overwhelmed or wants a little guidance into the polymer clay world, the mentor will provide help and support.  
Name Tags: Maintains and updates the name tags worn at any guild gathering, brings or makes sure someone brings name tags to  
Guild Photographer: Takes photos of artwork presented at guild meetings and classes, presenations and any other guild-related events; optimizes photos for web display.  
Minutes Mailings: Sends (snail mail) meeting minutes to members who do not have email.  
Declarer of the Design Exploration: Identifies and announces a technique or theme for members to incorporate into a project to be presented at the next meeting.  
Thank You's: Procures or manufactures 'Thank You' cards or notes for appropriate guild occasions.  
Guild Oven Keeper: Stores guild's convection ovens when not needed for classes. Works with class coordinators to assure ovens are available when needed.  
Library Resource Acquisitioner: Purchases library materials.  
"Thank You" Certificate Designer: Designs and issues certificates to all volunteers for the fiscal year. Certificates can be used to cover the cost of any Clay Day.  
Emailed Minutes Distributor: Distributes minutes via email addresses  
Shopping Tour Coordinator: Selects businesses within a specific area that sell items, supplies related to polymer clay activities; maintains list of members who'd like to attend, selects date and time for tour and contacts list. serves as guide on tour day.
