1.
Email communication is not for emergencies. For emergencies, go to the nearest Emergency Room or call 911, then call 865-558-3011.
2.
Email communication is not to be used to change or cancel an appointment. To change or cancel an appointment call 865-558-3011.
3.
You must initiate email correspondance by sending Dr. Townsend an
email. This is to ensure she has your correct email address and that emails intended
for you do not end up in another person’s inbox.
4.
Dr. Townsend uses an encrypted email account. You are responsible to maintain security and confidentiality on your end of the email.
5.
Because of security and confidentiality issues, do not include sensitive
issues in emails.
6.
Save issues that would require a long reply for your face to face
counseling sessions. Much of the work we do in your counseling session requires
both of us to use our non verbal communication skills—these skills are missing when electronic communication is used
and electronic communication can be misunderstood.
7.
Access to your emails that are sent to Dr. Townsend, is limited
to Dr. Townsend.
8.
All emails will be printed by Dr. Townsend and put in your case
file.
9.
Allow at least 48 hours for Dr. Townsend to respond to your email—if
you don’t hear from her by this time, follow up your email with a phone call to 865-558-3011.
10.
There are numerous limitations to email technology: computers can
crash; viruses can attach themselves; email accounts can freeze up, etc.
I/we understand
that there are limitations to the use of email technology, and confidentiality cannot be guaranteed. I/we agree to hold Dr. Townsend harmless if there is a technical or communication failure resulting from
my choice to communicate with her by email.
