Description of Team Manager Duties

 

The under lying goal for a Team Manager is to make sure the team is informed and everyone shows up for the game/practice.  Some of these ideas will probably not work with every team/coach.  The Team Manager should take the initiative to determine which duties the coach would like for the Team Manager to perform and not wait for the coach to ask for something.  If someone else other than the Team Manager is going to do one of these duties, let the team/coach know.  Items to be discussed with the coach include:

 

·        Should be the first one at the rink for games and practices.

·        Should make sure locker room is opened when players arrive.  Team Manager should be visible to let the players and coaches know which locker room to go to.  The Team Manager should have the key, lock the locker room when the Players are on the ice (this may not be necessary at the home rink practices, but sometimes we have non SCIS teams in the building, even on practice nights) and be visible and available to the team. 

·        To provide necessary team support during games, the Team Manager should not perform the game duties of an off-ice official.  

·        Should offer to do the water bottles for practice and games.  Most likely the coach has a set of water bottles.  Some coaches prefer to do this themselves. 

·        Should do a head count and let the coaches know who is not in the locker room especially for games.

·        Should announce to the team when the previous game is in the third period and when the resurfacer is on the ice.

·        Should communicate “face to face” with the coach at every practice or game to make sure schedules are still intact.  Experience has shown that if you approach the coach you usually get “Oh yeah, I changed this or that” or “I told the boys in the locker room.”  Then the manager can follow up with the parents to make sure everyone is on the same page.

·        Should be the one sending out the emails.

 

 

Travel Team Managers are responsible for:

·        Assisting the head coach.

·        Collecting and keeping track of your team’s assessment.

·        Notifying a Board Member if there is a player issue. 

·        Notifying the Registration Coordinator if a player is added or resigns. 

·        Notifying the Registration Coordinator if a player is injured and misses a majority of the season. 

·        Ensuring that the team has an official roster.

·        Assigning someone to ensure that the locker rooms are picked up after practices and games.  If not clean when you arrive notify the manager on duty. 

·        Organizing and providing to each family, contact information for each player that would include: parent’s names and phone numbers, email addresses and any other information needed for players, parents and coaching staff to communicate with each other.

·        Making a binder containing original roster and paper copies of registration form, consent to treat, and birth certificate for bringing to all games.

·        Relaying schedules to the team.

·        Managing team fundraising money.

·        Relaying information or changes that affect your team such as practice and game times or changes, notifying other teams if affected.

·        Providing a score sheet (provided by BAHHA) with your team’s players names completed for home games.  For away games the score sheet with your team’s player’s names for your team is also completed.  Labels printed with coaches, players and numbers is easier than hand writing them.  The form has 4 copies so 4 labels would need to be provided for each game.  The coaches, players and numbers can also be hand written.  SCIS Customer service is given score sheets for home game use.  The Team Manager should also carry some score sheets just in case they are not available.  The “home” team must mail the white copy of the score sheet to Jason Maurer within 4 days of the completion of the games played.  For home games, the Team Manager needs to ensure that the Referees and the Coaches sign the score sheet and retain the yellow copy for team records.  For away games, make sure you (the Team Manager) receive the pink copy of the score sheet.  Jason’s address is:

·        Providing NTxHL game scores to Jason Maurer via email within 24 hours for local teams and within 72 hours for out of town teams.  Delays can and will result in loss of points in the standings.  This is the responsibility of the team designated as the “home” team.  Jason’s email address is j_maurer1@yahoo.com.

·        Maintaining a record of who would qualify for hat trick (3 goals in a game), playmaker (3 assists in a game) or shut out patches and follow up with the TAHA League Coordinator (TC Lewis) if necessary.  When TC receives a faxed copy of a qualifying score sheet, he reviews it and once a month he will send the earned patches to the association for distribution.  This is one reason that the Team Managers need to retain the proper copy of each score sheet.

·        Providing parents to do the scorekeeping/timekeeping and penalty box (off-ice officials). 

·        Coordinating team clothing (2 sets of jerseys, 2 pairs of socks, shells, wind suits etc.,) which may include but is not limited to sizing, ordering, coordinating jersey numbers, jersey placards, etc.,

·        Fundraising/Sponsors, if desired.  Check with the Fundraising/Sponsor (F/S) Director for ideas and inform the F/S Director if doing something new. 

·        Coordinating NTXHL required individual games with other team managers/coaches.

·        Collecting money for extra games scheduled to cover referees.

·        Making travel arrangements for entire team for away tournaments, which may include, but is not limited to group hotel & eating arrangements.

·        On a travel weekend the Team Manager should send out a one pager with all of the information for the weekend i.e. Game times and location with address, hotel information, what time the players should be in the locker room for each game, etc.  If there are changes in the plans these need to be communicated promptly, in detail and if possible with a handout if your on the road.

·        Organizing home tournaments.  This list is primarily for traditional tournaments in which teams play each other an equal number of games.  Most weekends under NTxHL have teams playing at different rinks and not playing each other an equal number of games.  Some of the ideas may not be suitable for this type of format.

    1. Provide rosters.
    2. Keeping track of all score sheets during a host tourney & forwarding them all to NTxHL as specified in the manager instructions.  www.ntxhl.com.  Select Game Reporting.
    3. Provide labels for score sheets for all teams.
    4. Provide parent for penalty box, time keeper and score sheet keeper for every game of the tournament
    5. Arrange for Sunday morning breakfast for home and all visiting teams.  The breakfast is usually only done at the peewee and below levels.
    6. Drinks of coolers for all teams (home & away) to be distributed on Saturday only before each team’s first game of tournament.
    7. Gift basket fundraiser for each team Peewee level and below (gift baskets on Saturday only before the teams first game of tournament).
    8. Win/loss poster (to track seed).
    9. Complete game schedule poster for all games during tournament 
    10. Create program for tournament.
    11. Organize fundraisers and sponsorships  (raffles, etc.,).

 

It is important for all Team Managers to plan with the head coach of their team how they would like the season to go for their team.
