Duties And Responsibilities
Supervisor:
Train, coordinate, and supervise (ten) work-scholarship students performing
clerical and library page duties. Monitor and evaluate job performance.
Direct students in the maintenance of book and periodical stacks, including
shelving, shelf reading, materials processing, materials maintenance, and
displaying of current periodicals and newspapers. Assign typing, filing,
and photocopying. Interview, hire, and discharge student employees.
Circulation:
Plan and organize the operation of the circulation desk. Maintain and
update systems for: circulation of library materials; registration of borrowers;
maintenance of patron and item files; inter-building loan. Maintain currency
of policy and procedural manuals. Oversee the collection of fees and fines.
Supervise notifications, billings, and collections for unreturned library
materials. Coordinate with library's two collection services, and library's
collection consultant. Produce summary statistical reports.
Accounts Payable (and Accounting):
Acquisitions: Order all books and printed materials (excluding periodicals);
chief contact person with publishers/ distributors. Maintain order files,
track status of orders. Supervise the receiving/checking-in of materials.
Produce all purchase orders (and maintain files) for book orders and office
supplies. Initiate, maintain, and update systems to monitor petty cash,
library fines, and photocopier revenue. Bank deposits. Maintain the library's
check ledger: write checks covering budget accounts, balance ledger. Contact
person with bank. Compile spreadsheets, produce semi-annual financial statements.
Reference / Reader Services:
Assist faculty, students, staff, and the public in locating and using
library materials. Answer reference inquiries in library and over telephone.
Conduct library tours for class visits and other groups. Record requests
for acquisitions and holds.
Facility Management:
Responsible for the day-to-day operation of the library. Schedule student
work hours. Sort and distribute incoming mail. Open and close library.
Arrange for maintenance of office machines. Oversee and maintain general
library files.
Administrative Assistant:
Assist director with forming library policies and procedures; short-
and long-term planning; problem solving. Provide director with input regarding
acquisitions, budget, and quality control.
